Administrative Assistant

The Administrative Assistant will ensure the smooth operation of our leadership team and daily business processes. This role involves managing executive schedules, meeting logistics, LinkedIn administrative tasks, and overseeing accounts receivable and payable.

Requirements

Key Responsibilities:
Executive Calendar Management: Schedule meetings, appointments, and travel. Ensure leaders are prepared for meetings.
Meeting Facilitation: Take meeting notes, convert them into actionable items, and follow up on progress.

AR/AP Organization: Process invoices, payments, and receipts using QuickBooks Online. Resolve billing issues and maintain financial records.


Administrative Support: Handle filing, data entry, correspondence, and social media posts. Support other departments as needed.

Qualifications:
Proven experience as an administrative assistant or similar role.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite.
Familiarity with AR/AP processes and LinkedIn.
Ability to handle sensitive information with discretion.
C1+ English level.

Preferred Qualifications:
Experience supporting multiple executives.
Knowledge of QuickBooks Online.
